Looking after young players means looking after their information, too. Consent, medical details and retention are part of the everyday operation.
When a parent withdraws photo consent, their child's profile photo and the gallery photos they are tagged in are hidden from the public site and the parent portal straight away. Tagged gallery photos are then deleted within about a week. Pictures in news posts and messages are removed by the academy on request.
Medical and allergy details are shown only to staff whose role and squad give them access, and to the child's own family. They are deleted automatically 30 days after the academy removes a player.
Player records, medical details, gallery photos, audit logs and enquiries are deleted on fixed retention schedules, and every clean-up run is logged.
Trial-form consent, guardian permissions and programme opt-ins record the exact wording the parent agreed to. Registration consents are recorded with the date and time they were given.
